Graceland University Internal Procedures for Requesting Grants

The Graceland Grants Office exists to assist university personnel in the grant writing process. Those interested in applying for a grant are encouraged to contact the grants office for assistance in all phases of the process.

  1. The requesting person takes a written summary of the program and the amount of money requested and any university funds that could be a match or in-kind contribution to their vice provost/vice president for preliminary approval. The vice provost/vice president appoints a project director. The project director is involved in all aspects of the grant application as well as the implementation of the grant, once funded.
  2. The project director submits the above information to the president for approval. This step is necessary to insure the grant conforms to the mission of the university.
  3. The project director submits the above information to the grants office.
    • If the project director does not have a funding source in mind, the grants office will gather guidelines outlining requirements and deadlines for specific foundations, corporations and federal agencies, keeping in mind that funding sources are not flexible and the project must "fit" their guidelines.
    • If the project director does have a funding source in mind, the grants office will gather information requirements for grants from the desired organization or agency.
    Letters of inquiry to potential funding agencies will be written by the project director and signed by either the area vice provost/vice president or the president. Copies of all correspondence will be kept on file in the grants office. If the grant requires matching funds, the vice president for business services must sign-off on the request before it advances to the writing stage. This signature indicates approval of in-kind contributions by Graceland or direct dollars committed to the project and must be on the summary of the project paper before the request moves to the collaborative/writing stage.
  4. The project director and other key personnel, as designated by the area vice provost or vice president, including the director of grants will edit the document in conjunction with agency guidelines.
  5. Key personnel, including the president, will approve the document in conjunction with agency guidelines.
  6. The grants office will assist in the mailing process as stipulated in the guidelines.
  7. Copies of the finished proposal are distributed to the president, area vice provost/vice president and any department/division chairs that are directly affected by the grant.
