Moving Allowance

PURPOSE:
To assist all employees, equitably, with the cost of relocating to a Graceland University work location

House hunting: Graceland University will reimburse expenses related to a house hunting trip. Maximum reimbursement will be $350 and includes reimbursement for mileage, food, and hotel and is limited to two nights.

Moving expenses: Graceland provides 3 different options to accommodate employees’ moving needs. Employees may elect the option that works best for them. To ensure maximum reimbursement under this policy, it is advised to submit an estimate of all expenses in advance.

Option 1: Eighty (80%) percent of the actual commercial moving charges for household goods and 100% of personal travel expenses. Personal travel expenses include fuel for personal vehicle, food, and lodging. The employee must submit two, preferably three, estimates of all moving expenses prior to the moving date. Estimates should be submitted to the Human Resources Director for approval.

Option 2: Actual cost of a self move including rental of a single vehicle for one trip, carton rental, fuel for rental vehicle, dolly rental, furniture pad rental, tolls, and other expenses directly related to the rental of the vehicle. Fuel for personal vehicles, food, and lodging will also be reimbursed for a self move.

Option 3: Alternate written plan approved by Human Resources Director.

Reimbursement is to the employee. Original receipts should be attached to an expense report and submitted to the Human Resources office. Payments made to employees under this policy are considered taxable income by the IRS. These payments are reported on Form W-2.
