Paid Time Off

PURPOSE:
Necessary leave and vacation are designed to provide flexibility in paid time off for employees of Graceland University. These programs are designed to meet the diverse needs of our workforce but are a benefit that must be managed by both the employee and leader.

POLICY: A. Employees may make use of their vacation allowance and necessary leave allowance as described in the employee handbook.B. Vacation must be scheduled in advance and approved by your leader. We encourage employees to take vacation to maintain a healthy work/life balance and find renewal in activities that are non-work related. It is the leader’s responsibility to ensure that all employees have the opportunity to use their vacation allowance. Annual allowance is awarded on June 1st of each year. Each year on May 31, employees will be permitted to carry forward up to 40 hours (5 days) of unused vacation from the current year’s vacation allotment.C. Necessary leave is provided to employees for several purposes:

  • Provide for paid sick leave
  • To provide for accumulation of days to cover the elimination period under our long term disability policy
  • To provide up to five days for personal business concerns
  • (i.e. Doctor appointments, child care, driver’s license renewal, etc.)

D. Necessary leave, like vacation, has to be coordinated between the employee and leader. It is not intended to function like vacation but provides security in the event of sickness and in limited cases of personal business concerns. Excessive use of necessary leave results in absenteeism and impacts job performance and will result in disciplinary action. Annual allowance is awarded on June 1st of each year. Employees can accumulate up to 480 hours total. E. Employees who will be absent must call their leader as soon after the start of their scheduled work period as possible, and at least within an hour of when they were scheduled to begin work. Failure to contact the supervisor could result in the loss of pay for that day. Employees must advise the leader of each day that they will be absent, either calling in daily or letting the leader know the period of time they can be expected to be gone (as in the case of lengthy illness, hospitalization, family crisis). If the employee anticipates being gone for over a week then please notify Human Resources so that FMLA benefits can be discussed.
