Naming Policy on Endowments, Buildings, and Facilities POLICY:

General

The naming of endowments, buildings and facilities at Graceland University shall be carried out within the bounds of propriety and good taste as a means of implementing the goals and objectives of the overall advancement program of the University. 1. The Board of Trustees may name endowed professorships and chairs for donors and donor entities contributing 100 percent of the amount specified. The Trustees have established the categories of endowed professorships as follows:
Chair $1,000,000
Distinguished Professorship 650,000
Visiting lecturer or artist 100,000
Although exceptions can be made, professorships will not be named until the gift endowing one of the above categories has been paid. The primary objective of the gift will be to enhance and/or stabilize the academic department and could include the creation of a new position, guarantee of an existing position, or the development of an existing faculty member. The endowment funds will be administered in accordance with Graceland’s endowment investment policy.2. Definitions. For purposes of this policy, the categories of professorship are chair, professorship, and visiting lecturer or artist.Chair – The endowment could cover the cost of the faculty member’s salary, an annual stipend for materials and equipment, travel and secretarial assistance.

Professor – The endowment could be used to cover in part the faculty member’s salary.

Visiting lecturer or artist – The endowment could be used to cover the travel expenses and fees associated with a visiting lecturer or artist. In general, qualification for holders of endowed professorships would be a terminal degree, maturity in scholarship and high reputation among colleagues in their field. Faculty members who demonstrate outstanding potential may also be considered. Persons with outstanding professional credentials or experience can be holders of an endowed professorship.NAMED PROGRAM OR SCHOLARSHIP ENDOWMENTS 1. Program and scholarship endowments may be named by donors and donor entities who contribute 100 percent of the minimum amount specified within a three year time period. The Trustees have established the minimum levels as follows:
Program Endowments  $10,000  
Scholarship Endowments $10,000 
2. In addition to the minimum funding level, a gift agreement will be signed by all parties as an indication of intent and to provide guidance to administer the endowment. The endowment funds will be administered in accordance with Graceland’s endowment investment policy.3. Definitions: For the purpose of this policy, categories of endowments are named program endowments and named scholarship endowments.

Program endowments could cover costs related to the operations of a program or department, such as, but not limited to: travel, office expenses, salaries, materials, and equipment.

Scholarship endowments will provide scholarship income to be awarded by the university according to criteria specified in the scholarship guidelines. The donor under no circumstance may specify the particular individuals to benefit from their endowment. Guidelines will be amended as necessary to stay in compliance with IRS regulations as they change over time. BUILDINGS1. New Construction. In general, as approved in advance by the President, Provost and the Board of Trustees, new buildings will be named for people who have made a significant contribution to Graceland. This would include donors and donor entities that *contribute significantly to the project cost associated with construction or renovation of a building. Although exceptions can be made, gifts for construction generally may not be deferred and the pledge payment period must be five years or less to ensure that construction costs do not exceed the present value of gift support. A gift agreement will be signed by all parties as an indication of intent.2.Existing Structures

a.Un-named. Un-named existing structures could be named for people who have made a significant contribution to Graceland. This would include donors and donor entities that *contribute significantly to the estimated replacement cost.

b.Named. Existing named structures can be re-named for people who have made a significant contribution to Graceland. This would include donors and donor entities that *contribute significantly to the estimated renovation cost. In general, existing structures may be re-named if the building is comprehensively renovated and the individual or donor entity for which the building is named is deceased or no longer exists. Care and sensitivity must also be exercised in considering the feelings of the lineal descendants, former students and employees of the university who might object.

c.Historical Name(s). In the event an existing structure is to be re-named, every effort should be made to preserve the historical name or names through dual naming and appropriate signage design, subject to approval by the new donor. As a minimum, the historical uses and names of a structure that is re-named may be permanently recorded on a suitable marker or plaque at or near the main entrance. FACILITIES1. Definitions. For purposes of this policy, facilities are defined as areas and spaces within buildings and out-of-doors. Indoor facilities include such spaces as classrooms, laboratories, lounges, meeting rooms, training rooms, gymnasiums, offices, lobbies, and the like. Outdoor facilities include courtyards, roads, malls, patios, athletic fields, fountains, landscaped areas and the like. Since facilities vary in type, scope, location, and historical significance, standards of comparability, consistency, and relevance of donor effort should be carefully considered in the naming of all facilities.2. New Facilities. New facilities could be named for people who have made a significant contribution to Graceland. This would include donors and donor entities that *contribute significantly to the estimated total project cost, including equipment for the new facility.3. Existing Facilities

a. Un-named. Existing un-named facilities could be named for people who have made a significant contribution to Graceland. This would include donors and donor entities that *contribute significantly to the estimated replacement cost in current dollars.

b. Named. Existing named facilities could be re-named for people who have made a significant contribution to Graceland. This would include donors and donor entities that *contribute significantly to the estimated replacement cost in current dollars. As in the case of buildings, care and sensitivity must be exercised whenever re-naming is contemplated to insure that the long-term viability of the university’s relationship with its donors is preserved. EXCEPTIONSThe Institutional Advancement Committee of the Board of Trustees may make recommendations to this policy in consultation with the Vice President for Institutional Advancement. The recommendations will then be forwarded to the President, Provost and the Board of Trustees for action.IMPLEMENTATIONThe President, Provost and the Board of Trustees must approve decisions concerning the naming or re-naming of existing buildings and facilities. The Vice President of Institutional Advancement will be responsible for implementation of this policy acting in consultation with appropriate user committees established on campus for the purpose of identifying user requirements. The office of the Vice President for Institutional Advancement will maintain a list of named and un-named professorships, buildings and facilities.• Donors who “contribute significantly” are to be determined in comparison with the size and scope of the project and in relation to how others support the project. Each naming opportunity will be considered individually.
