Audio/Visual Equipment Tagging Policy (B8)

SUBJECT:
Audio/Visual Equipment Tagging Policy

PURPOSE:
To document the established policy and procedure for tagging Audio/Visual Equipment

POLICY:
All audio/visual equipment (projection equipment, data projectors, digital cameras, overhead projectors, tripods, screens, VCRs, DVD players and burners, etc.) with a value over $500 that has been purchased with department or division funds will be tagged with asset tags, marked as property of Graceland University, and serial numbers recorded by Graceland Educational Media Services (GEMS). Equipment purchased with department or division funds will be permanently registered to that department or division but will be serviced and maintained by GEMS. PROCEDURE:
Departments/divisions can order their own specialty audio/visual equipment with available and/or restricted budget funds with approval of their department or division chair. The equipment can be shipped directly to the department and used as soon as it arrives. However, within 1-2 weeks of receipt of new equipment, departments/divisions will notify GEMS to record serial numbers and affix an asset tag. Appropriate security will also be installed on the equipment, if appropriate. PROCEDURE:
No raffles or other fund-raising activities that require a gambling license will be approved for Graceland-relating activities, events, and fund-raisers.
