Setting up your voice mail

To set up your voice mail from your new phone follow these easy steps:

1. To receive your initial passcode please contact the Help Desk at Ext. 5167
2. Dial 61
3. Enter your passcode
3. Then dial 8- this will give you user options
4. Options will be:
-- Dial G to change your greeting (this is the message that your callers will hear)
-- Dial N to change your name (when you leave a VM this will tell the caller who left the message)
-- Dial P to change your passcode (this is the code you will use to retrieve your messages)
-- Dial L to change make a distribution list (you can make personal distribution lists for special groups)
-- Dial T to listen to the tutorial (very helpful if you aren’t sure where to go next)
-- Dial X to exit the system

Under special circumstances please contact the Help Desk at Ext. 5167.
Conference Phone Instructions

1) Make sure you have your access code if you are calling long distance (if you aren't sure contact the secretary in your area. If you don't have an access code dial ext. 5375 to obtain one - with the permission of your supervisor).

2) Find faceplate marked in designated meeting room (should be marked Cnf Ph and a phone number)

3) All parts are lettered- match letters and insert

4) Press on button - if you have a dial tone you are ready to place your call

5) Follow instructions for using your access code (listed below)

6) There is a volume button on the phone-press this to control loudness.

7) Once you are finished with your call please place all parts of the phone back in the case and return it immediately to ITS in the basement of Briggs. If office is closed please return it first thing the following work day.

Access Code Directions

To place a call dial - 8 (then ACCESS CODE) followed by # sign (dial tone will follow) then 9 -1 (then the number you wish to call).

Conference Phones Usage

In order to use a conference phone you will need to reserve it in advance by calling ext. 5375, pick it up and return it to ITS immediately following the use of the phone. We have one special conference phone that can only be used in the Helene Center Conference Room and 3 conference phones for the remainder of the rooms listed below. Conference phones now have preset locations for use. They are listed below. You will need to be sure you have one of these rooms reserved if you are using the conference phone in that location.

An access code is needed to place long distance calls from the conference phone. If your department does not have an access code you will need to contact ext. 5375 to obtain a code for your department. The code and instructions will be emailed to the department secretary or administrative assistant.

Instructions are available in the conference phone cases and the jack numbers are listed below for the live connections. Each live connection will be marked with Cnf Ph and the phone number assigned to that port on the faceplate.

Instructions to print online phone directory

Employee Directory

At the top of the page click on "Click here for Private Employee Only Telephone Directory"

This will prompt you for a password. This will be your network password that you use to log in to your computer. The next step will be to pick which format you will want to print for your directory. There is legal size and there are small sheets that will fit in the small red binders. If you print for the small red binders please be aware that you will have to cut the pages in half to fit in the binder. If you are printing legal you will need to select this option when you are ready to print. If you are in need of a binder please feel free to call me at 5375 or if you have questions regarding this printing process. One other tidbit of important info is that your computer must have Adobe Acrobat installed in order to print the directory.

How to print the phone lists side by side

1. Go to file print
2. Print pages 1-12
3. Take the paper out of the printer. Lay the paper in the tray with the printed side face down with the print closest to you and the blank half of the paper away from you.
4. Again go to file print
5. Print pages 13-24
(This allowing the page to print on the half that is blank, the printing will turn out side by side and upside down to each other.)

Multiple Phone Calls on Line at Once

Call in- "Hello"

"Let me free up my line for the next call"- HOLD

-Hit private line (7) then ADD HELD

Phone: select hold line

Held line "flashing"

This moves the call up to the private

line -put them on hold or talk to them

"I've got another call. Let me put you on hold"-

Private line on hold- answer call

"Let me add you to the conference call"

HOLD- then private line "I'm going to bring in Joe Smoe"

Add held phone- "select held line"

-Held (flashing) line- beep

"We've now added Joe" then continue the same way.

8 maximum on the line.

Telephone Tips

When you enter Voice Mail (VM) the automated operator will give you instructions on how to use the system. But please be patient!

1. To check your Voice Mail from another phone off campus dial-784-5080 this will let you then enter *(star)your extension number. If you want to leave a message for another person you would dial their extension.

2. Enhanced versions to use instead of 3000
Dial- 60- to leave a message-enter mailbox number
61- *(star) your passcode- to listen to your messages
63- (their number) to leave message in someone elses VM
64- (your number) use this to log on and check your VM from any phone (like 3000-*number)

3. To forward your calls from your desk to another phone dial *8 then the number. From another desk, **8 (wait 5 seconds) then dial your extension. To release call forwarding from this phone dial *#*# or **8(speaker).

4. You may pick up on another line in your office group, that is ringing, by dialing *6, there may be some delay before response.

5. After creating a message and giving it to others (4-Give), you may want to send the message to yourself to make sure it was sent and how it will sound.

6. May by-pass VM greeting by pressing 9 but you may miss an important part of that persons message. It would be helpful if you would give an early warning in your greeting if you will be gone.

7. If you accidentally dial (9-1-1) please stay on the line and explain what you have done.

8. After deleting a message by accident, wait, don't hang up and it will tell you how to retrieve the message you have just discarded.

9. To back track while listening to a message press (*) to fast forward press (#).

10. If you wish to see who is calling by pressing SuperKey + the extension ringing and it will show who is calling (or the extension number of the person calling. This will however, only work if you have a viewing window on your phone console.

11. To add Do Not Disturb- dial *5 (this means your phone will not ring, it will automatically go to VM), to remove-#5

13. To leave a campus wide Voice Mail
DIAL- 5080, then dial mailbox 3500
RECORD-Greeting, indicate who is to receive the message, record message
REVIEW- press 7 to review message
SAVE- press 9 to save message and exit program- to DISCARD and start over press 3
CALL- Christi Dickerson at 5104 for students or Deb Kinnison at 5174 for employees, to let them know you have a message to be sent and indicate which of the following groups you wish to receive it (faculty/staff, students or all of these). If you wish to send a message to faculty only please call Mary Boswell at 5114.

**If you wish to delay the time and date that the message is sent you will need to make arrangements with the person you contacted to send the message.**

Please remember to delete messages from your message storage, if they are not necessary to keep. This keeps disk space open and the lines of communication can flow smoothly.

HOW TO: Setup Mitel V-Mail Box for Cisco System

This is for a user that is moving from Mitel to Cisco, NOT a new user (a new user needs a mailbox created on the Mitel system).

1. Log onto Mitel V-Mail through Telnet

2. Login using correct username and password.

3. Select the Terminal type of "N" for None and press enter.

4. Select "M" for Mailbox Maintenance.

5. Select "L" for list maintenance.

6. Select "C" for Create/Modify or Show distribution lists.

7. Enter the mailbox number you are moving.

8. Enter 1 for the distribution list.

9. Note the numbers that are listed if the list already is populated, because we have to remove these.

10. Press enter for the sort order (not really important).

11. Press enter on Check for duplicate before add.

12. If there are members in the list:
a. Press "D" for Delete.
b. Enter the number listed above for Current Members: and press enter.
c. Repeat for all remaining members of the list.

13. Press “S” to show any remaining members and verify that all have been deleted.

14. Press "A" to add a member to the list.

15. Enter the following for Member: p8111 and press enter (example: p81115401)

16. After member has been successfully added to the list press enter at the prompt for Add, Delete, or Show.

17. When asked to save the list type “yes”, or just press enter to select the default of yes.

18. If you have multiple mailboxes to move, you can now repeat the above steps for each, or press enter to move on the the next step.

19. Press (x) Exit to exit list maintenance.

20. Press "M" for Mailbox Modify.

21. Enter the mailbox number you are moving and press enter.

22. Press enter to retain existing values for all mailbox parameters except FCOS and LCOS, set those to 20, and Message waiting type #1, set that to 0 for none. All other options leave them the same. (FCOS is right after "New Attendant pre-dial extension index: ", LCOS is right after FCOS, and MWT #1 is right after "New Unbilled Outdial Index:"). Then at the end it will show you the changes.

23. You can then enter another malbox to modify, or press enter to get back to the Mailbox Maintenance menu. 24. When you are complete and back to the mailbox maintenance menu, press X to exit. 25. Press "X" again to exit 26. Answer "Y" to exiting the console menus and log out.

Making a phone list

Here are the simple steps-

Dial 61 then your passcode

Once you hear the recording come on press 8 (user options)

Then press 5 - this option lets you assign a number to your list - you will need to number your list starting with 0 (example 011)

Then you'll record a name for your list by pressing 6 ( press # to end your recording)

- at this time you'll be asked to save this list name- press 9

To add phone numbers to the list press 2

Then you are finished.
