• Reservations need to be requested two class days in advance through campus scheduler @5494
• Cancellations should be made to campus scheduler
• Room set up and audiovisual needs must be requested at reservation time
• Food service and catering needs are to be ordered through Sodexho
• Fire retardant materials must be used in all decorations
• There is no charge for the use of space unless damage occurs or excessive debris is left after the event
• User will return room to original set-up
• Hallways and entrances/exits cannot be blocked or obstructed
• Marketing and advertising is the responsibility of the user

The above policy and procedure is a portion of the Facilities and Room Use Scheduling policy which was approved April 18, 2000 by the University Council and is a part of official Graceland Institution Policies and Procedures.

Additional restrictions for the Science Building

• There will be no fires used for demonstration purposes unless the demonstration is cleared through the Division Chair.
• The instruments in all labs may not be used unless their use is cleared through the Division Chair.
• No food or drink in computer labs.
• Science rooms 102, 103, 114, 119, 143 and 146 may be reserved. All other room use must be cleared through the Division Chair. No exceptions.
• The housekeeping closet with cleaning supplies is located in room 115. (If locked, security has access (Dial 5199) There is one phone available for your use in the main hallway.
• Tape only on glass—not on doors, painted surfaces or walls.
• Tables must be covered with paper or plastic at the group’s expense to prevent stains and spills.
• Report any accidents or broken items to Facility Services and Camps and Conferences immediately.
• Fines will be assessed for:
• Room not cleaned
• Furniture not moved back to neutral position
• Broken or missing equipment (fine and replacement)
• Unapproved use
